IBO Summit 2023 privacy policy
This Privacy Policy applies to the www.ibosummit2023.com website (Website) and defines the rules for the processing and protection of personal data provided by Users in connection with registration in IBO Summit 2023 (Event) via the registration form on the iKongres platform (Registration Platform).
The Event organizer is Event Partners Tomasz Korycki ul. Międzyrzecze 30, 03-043 Warsaw, VAT No: 524-210-72-47, REGON No: 017465361 (Organizer).
An Event Participant is a person who has correctly registered on the Website and purchased participation in the Event (Participant)
1. INFORMATION OBLIGATION TOWARDS NATURAL PERSONS REGISTERING ON THE WEBSITE
Fulfilling the obligation resulting from art. 13 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (Official Journal of the European Union. 2. PURPOSE AND BASIS FOR PROCESSING PERSONAL DATA OF PARTICIPANTS BY THE CONTROLLER
2.1. The purpose of data processing is to enable you to participate in the Event, including providing information about this Event before and after it. Therefore, your data will be processed:
2.1.1. pursuant to Article 6.1.b of the GDPR, i.e. on the basis of the necessity of processing for the performance of the contract between the Organizer and you;
2.1.2. for the period of up to 12 months from the end of the Event
2.1.3. Participants have the right to access their data, correct it, the right to object to the processing of data, the right to limit data processing, the right to obtain a copy of their data and transfer their personal data.
2.2. The purpose of processing data necessary to issue an invoice for participation in the Event is to fulfill the legal, tax obligations imposed on the Organizer: Therefore, your data will be processed:
2.2.1. on the basis of art. 6.1.c of the GDPR, i.e. on the basis of the necessity of processing to fulfill legal obligations incumbent on the Organizer;
2.2.2. for up to 6 years from the end of the Event
2.2.3. Participants have the right to access their data, correct it, the right to object to the processing of data, the right to limit data processing, the right to obtain a copy of their data and transfer their personal data.
2.3. If you consent to receive commercial information from the Organizer and the Controller, the purpose of which will be to inform about other events organized by the Organizer and the Controller as well as to send commercial and promotional information. Therefore, your data will be processed:
2.3.1. on the basis of Article 6.1.a of the GDPR, i.e. on the basis of your freely given, prior and informed consent;
2.3.2. until the withdrawal of consent, to which you have the right in this situation, which can be made by sending such a request to the e-mail address contact@ibosummit2023.com or to the above-mentioned correspondence address.
2.3.3. Participants have the right to access their data, correct them, the right to object to the processing of data, the right to limit data processing, the right to obtain a copy of their data and transfer their personal data.
3. ENTRUSTING THE PROCESSING OF PERSONAL DATA
3.1. The Controller entrusts the processing of personal data to the Organizer in order to perform tasks related to the handling of the Event, including in particular:
- process the purchase of participation
- processing your payment
- invoicing
- production of name identifiers
- preparation of attendance lists and reception services, including verification of the identity of Participants.
- handling the participation of Participants in the Event, accompanying events and in the transport offered by the Organizer
- pursuing possible claims (including debt collection) and possible damages
3.2. The Controller may share your personal data with Partners and Event Sponsors listed on the Website, provided that you agree.
3.3. The Controller will share the personal data of the Participants with other recipients on the basis of legal provisions , including recipients acting for and on behalf of the Controller under data processing agreements.
3.4. Participants' data may be transferred to third countries and International Organizations.
4. RIGHTS OF PARTICIPANTS
4.1. If you believe that personal data is processed unlawfully, you have the right to lodge a complaint with the supervisory body – the Office for Personal Data Protection, Stawki 2, 00-193 Warsaw.
4.2. Please be advised that as a Data Subject you have the right to:
a. withdrawal of consent pursuant to Article 7, paragraph 3 of the GDPR, although the withdrawal of consent does not affect the lawfulness of the processing that was carried out on the basis of consent before its withdrawal, however, it may prevent the Participant from participating in the Event;
b. access to your personal data and information concerning their processing, in accordance with Article 15;
c. rectification of incorrect data in accordance with Art. 16 GDPR;
d. request the deletion of data (right to be forgotten) in the event of circumstances provided for in Article 17 of the GDPR;
e. the right to restriction of processing in accordance with Art. 18 GDPR; vi.
f. the right to be informed about the rectification or deletion of data, or about the restriction of processing pursuant to Article 19 of the GDPR;
g. the right to receive your data in a readable electronic format in accordance with Art. 20 GDPR;
h. object to the processing of data in cases set forth in art. 21 GDPR.
5. SUPPLEMENTARY INFORMATION
5.1. The Controller reserves the right to change the privacy policy of the website, which may be affected by the development of Internet technology, possible changes in the law on the protection of personal data and the development of our website. Participants will be informed of any changes in a transparent and understandable manner.
5.2. The Website may contain links to other websites (External Services). External Services operate independently of the Website and are not supervised in any way by the Organizer and the Controller. These sites may have their own privacy policies and terms and conditions, which you should review.
5.3. Participants' data will not be subject to profiling or automated decision-making.
5.4. The Participant may contact the Data Protection Officer via traditional mail (to the address indicated above with the note "Personal Data Protection Officer") or by e-mail to the address contact@ibosummit2023.com.
5.5. Providing personal data during registration is voluntary.
