Regulations for the purchase of participation in IBO Summit 2023
Preamble:
The following terms used in these Regulations shall be understood:
IBO Summit 2023 Organizer: Event Partners Tomasz Korycki, ul. Międzyrzecze 30, 03-043 Warszaw, Poland, VAT no.: 524-210-72-47, REGON No: 017465361
Event: IBO Summit 2023 (blueberry growers industry congress)
Participant: a person who correctly registered in the system and purchased participation in the Event
1. GENERAL PRINCIPLES
1.1. These Regulations apply to the sale of participation in IBO Summit 2023 (Event). Each Participant, at the latest at the moment of expressing the will to be bound by a distance contract with the Organizer, has the opportunity to read and accept these Regulations and the Regulations of the Event and is informed about their rights and obligations.
1.2. The sale of participation in the Event is conducted solely by the Organizer.
1.3. Inquiries regarding the Event should be sent electronically to the e-mail address contact@ibosummit2023.com.
2. PROCEDURE FOR CONCLUDING CONTRACTS AND MAKING PURCHASES
2.1. Participation in the Event is sold on the Organizer's transaction service via websites in the domain www.ibosummit2023. com via the registration form in the iKongres system.
2.2. When ordering and making payments, the Participant is obliged to exercise due diligence. Entering incorrect data, e.g. payer's data preventing the identification of the Participant, may result in refusal to register the payment and cancellation of the transaction. Participation in the Event is not a Product.
2.3. Purchase of participation on the Organizer's website
2.3.1. After completing the form with personal data and choosing the type of participation, in accordance with the options contained in the Organizer's registration system, you must choose the payment method.
2.3.2. In the case of choosing payment by traditional bank transfer, the Participant by clicking the "Register now" field expresses the will to be bound by a distance contract and registers for the IBO Summit 2023 Event. Pressing the "Register now" button entails the obligation to pay and does not constitute a confirmation of the purchase of the Participation. Then, a confirmation of participation is sent to the e-mail address provided by the Participant during the registration process. After completing the transfer in accordance with the instructions, which is included in the confirmation of the application and receiving the funds to the Organizer's account, the Participant receives an e-mail thanking for making the payment and confirmation of registering the payment in the Organizer's system and a VAT invoice. Confirmation of participation and/or VAT invoice confirm the correct purchase of participation in IBO Summit 2023.
2.3.3. In the case of choosing payment via available on-line payment channels, participant by clicking the "Register now" field, expresses the will to be bound by a distance contract and registers for the IBO Summit 2023 event. Pressing the "Register now" button entails the obligation to pay and does not constitute a confirmation of the purchase of the Participation. Then the Participant is redirected to the PayPro S.A. website (on-line payment service). After the Organizer receives information from PayPro S.A. about payment by the Participant, a confirmation and a VAT invoice are sent to the e-mail address provided by the Participant during the registration process. Confirmation of participation and/or VAT invoice confirm the correct purchase of participation in IBO Summit 2023.
2.3.4. In case of any doubts as to the correctness of the registration process, please contact the Organizer by e-mail at contact@ibosummit2023.com.
3. PRICES AND CANCELLATION POLICY
3.1. General principles
3.1.1. The purchase of participation means that the Participant accepts the Regulations regarding participation in the event. Only the person whose name and surname were indicated during registration can participate in the event. The admissibility and procedure of changing the data, including the need to incur a fee for changing the data and its amount, is specified by the Organizer herein below.
3.1.2. The Participant is obliged to verify the compliance of the participation data with the data provided during registration. In the event that the participation data is inconsistent with the data provided in the registration process, the Participant is obliged to report this fact immediately to the Organizer, as errors in the content of documents (ID, VAT invoice) may result in refusal to participate in the event.
3.1.3. Decisions regarding the cancellation of the event, refunds due to the cancellation of the event, in the scope of changing participation, refusal of admission to the event, ordering to leave the event, in the scope of changing the agenda of the event, are specified by the Organizer herein below.
3.2. Prices and price categories
3.2.1. As part of the Organizer's sales system, various types of participation in the Event are available, depending on the options selected during registration.
As part of the purchase of participation in IBO Summit 2023, the participant is entitled to:
- participation in the plenary session and accompanying sessions
- catering (lunch and coffee breaks)
- entry to the sponsorship zone
- gala dinner
- transfers within the designated scope
- participation in additionally ordered and paid for optional activities
The price does NOT include accommodation and costs of travel to Poland and other costs not mentioned above.
3.2.2. The final price that the Participant will be obliged to pay for participation in the Event will depend on the choices made during registration.
The total purchase fee may be increased by the transaction fee of the Participant's bank. All bank charges are paid by the Participant on their own and at their own expense.
3.2.3. Price list for participation in IBO Summit 2023

* in the event of a change in the VAT rate, the net price will be increased by the VAT rate applicable at the time of issuing the invoice
3.2.4. The cost of changing the Participant's data will be calculated in accordance with the rules set out in point 3.4.1.
3.3. Discount codes
3.3.1. Discount codes may be available as part of the Organizer's sales system. Discount codes reduce the gross price of participation. Discount codes can be valid for the entire sales period or only for a certain period of time. Codes are a combination of letters and/or letters and numbers. The introduction and conditions of validity of discount codes are at the discretion of the Organizer of the event. Discount codes may be published by any means of communication, including the media, social media, newsletters, on the website www.ibosummit2023.com - generally available or addressed to a group of recipients selected by the Organizer.
3.4. Cancellation Policy and Return Policy
3.4.1. The Participant has the right to cancel his/her participation in the Event at any time until the start of the Event without giving a reason, subject to the following rules:
- Cancellation at least 120 days prior to the Event – refund of the amount paid less PLN 150 net – approx. EUR 30 (operating fee) and 3% of the total amount paid (bank charges).
- Cancellation between 120 and 60 days prior to the Event – refund of the amount paid less PLN 500 net – approx. EUR 100 (operating fee) and 3% of the total amount paid (bank fees).
- Cancellation between 60 and 30 days prior to the Event – refund of the amount paid less PLN 1000 net - approx. EUR 200 (operating fee) and 3% of the total amount paid (bank fees).
- Cancellation between 30 and 7 days prior to the Event – refund of the amount paid less PLN 1500 net – approx. EUR 300 (operating fee) and 3% of the total amount paid (bank charges).
- Cancellation less than 7 days prior to the Event – no refund.
In the case of earlier issuance of a VAT invoice, such an action will be confirmed by a correcting VAT invoice.
3.4.2. Refund in case of event cancellation
3.4.2.1. In the case of payment by bank transfer, the funds are returned to the bank account number from which the payment for participation was made.
3.4.2.2. In the case of on-line payments, the funds will be returned to the account or card account with which the payment for participation was made.
3.4.2.3. The refund for the purchased participation will take place within 14 days from the date of cancellation of the event. In the case of earlier issuance of a VAT invoice, such an action will be confirmed by a correcting VAT invoice.
3.4.3. Refund in case of change of date or place of the Event
3.4.3.1. In the event of a change in the date or place of the Event, the Organizer will offer the Participants the opportunity to participate in another date or place (if available) with a value corresponding to the value of the originally purchased participation.
3.4.3.2. The Participant may decide not to participate in the event at a new date or place. To cancel the participation, you must send an e-mail from the e-mail account assigned to the order, stating the desire to cancel the participation to the e-mail address contact@ibosummit2023.com. The refund for the purchased participation will take place within 14 days of receipt by the Organizer of information about cancelling the participation.
3.4.3.3. In the case of payment by bank transfer, the funds are returned to the bank account number from which the payment for participation was made.
3.4.3.4. In the case of on-line payments, the funds will be returned to the account or card account with which the payment for participation was made.
3.4.3.5. In the case of earlier issuance of a VAT invoice, such an action will be confirmed by a correcting VAT invoice.
4. METHOD AND DATE OF PAYMENT
4.1. General principles
Depending on the sales channel and the decision of the event organizer, the following types of payments are possible:
For participants from Poland: fast on-line transfer, traditional transfer, debit card/credit card, BLIK
For participants outside of Poland: traditional transfer, debit card/credit card.
4.2. Debit card, credit card, BLIK, fast on-line transfer
4.2.1. If you choose one of the forms of on-line payment: payment by debit or credit card, BLIK or a quick on-line transfer after confirming the application made via the Organizer's transaction service (by clicking the field: "Register now"), the Participant will be redirected to the PayPro S.A. transaction service (Przelewy24). Before providing the card number, please make sure that the correct redirection has occurred and that the Participant is on the website "Przelewy24" and that the connection is encrypted (the website address should start with "https://").
4.2.2. PayPro S.A., with its registered office in Poznań, 60-198 Poznań, ul. Pastelowa 8, Poznań, is responsible for the execution and security of payment card transactions carried out on PayPro S.A. (Przelewy24) websites, a national payment institution, supervised by the Polish Financial Supervision Authority, entered into the Register of Payment Services under the number IP24/2014, entered into the register of entrepreneurs kept by the District Court in Poznań – Nowe Miasto and Wilda in Poznań, VIII Commercial Division of the National Court Register under KRS number 0000347935, with share capital in the amount of PLN 5,476,300, fully paid, having the tax identification number NIP: 7792369887, REGON 301345068, in accordance with its regulations.
4.3. Traditional transfer
4.3.1. If you choose the option of payment by traditional transfer, payment should be made as soon as possible, however not later than within 14. After this date, the registration is canceled. In the event of order cancellation, it is not possible to restore it, it is only possible to place a new order in accordance with the terms in force at the time. In such case, the Organizer cannot guarantee that participation in the Event will still be possible.
4.3.2. In the event that funds are received after the deadline specified above, the Participant will only be entitled to a refund of the funds paid in accordance with the rules applicable to cancelling participation set forth in point 3.4.1.
5. LIABILITY AND COMPLAINTS
5.1. The Organizer is responsible only for participation purchased through the only official www.ibosummit2023.com portal and the registration form in the iKongres system.
5.2. The purchase transaction of participation in IBO Summit 2023 and all activities specified in this Regulations are subject to the laws of the Republic of Poland.
5.3. Complaints related to the purchase of participation may be submitted in electronic form to the e-mail address contact@ibosummit2023.com or in writing to the address of Event Partners Tomasz Korycki, ul. Międzyrzecze 30, 03-043 Warsaw, Poland.
5.4. The Organizer responds to the complaint immediately, no later than within 30 days from the date of receiving the complaint.
6. PERSONAL DATA
6.1. The administrator of the Participants' personal data is the Polish Blueberry Promotion Foundation, ul. Jadowska 4, 03-761 Warsaw, Poland, VAT no. 1132945608, KRS 0000684902.
6.2. Personal data of Participants obtained in connection with the use of the www.ibosummit2023.com website and the iKongres registration system will be processed on the basis of consents granted and the detailed rules for their processing regulated by a separate document: Privacy Policy.
6.3. All correspondence in matters related to the processing of personal data should be sent to the Controller's address with the note "Personal data" or to the e-mail contact@ibosummit2023.com.
